Paper File Archiving System

The paper file archiving system creates a memory for all events and information contained in documents and records. By archiving files, documents, and records, a valuable archive base can be built over time. In order to achieve authenticity and reliability in archiving, the archive must maintain its context to understand how, why, and by whom it was created, as well as its content or form. Paper File Archiving Solutions

In order to achieve the digital archive concept, several stages and processes must be followed. Among the most prominent and important stages are:

Site Survey

In addition to conducting the necessary study and analysis, Innovation & More develops an appropriate archive and execution plan. This process varies with the quality and size of documents and papers to be archived. It includes all the necessary information as well as the need to place documents and files before starting the project. The establishment can also fill out the "survey" and send it to us with a quote request.

The following points should be considered when filling out the form:
  1. Calculate the work volume and duration by estimating the number of documents and papers.
  2. Scanners have different paper sizes ranging from A4 to A1, which affects project duration.
  3. Analyze current storage methods for sorting and preservation.
  4. A team's work location determines the work method, whether it is inside an establishment or at Innovation & More headquarters.
  5. In order to facilitate search and quick and direct access to documents, the fields to be entered into the archiving program reflect the transaction fields.

Document Sorting

The sorting stage follows, where all transactions and files to be archived are sorted and divided by department in order to achieve the desired outcome in all stages of the electronic archiving process.

Document sorting considers the following aspects:
  1. Sorting documents according to their department.
  2. Documents are sorted based on serial numbers, in full cooperation with the institution's project manager.
  3. Sorting documents based on their nature or content, such as IDs, invoices, engineering drawings, projects, etc.

Document Receiving and Delivery

During the receiving and delivery stage, the files and documents to be archived are exchanged between Innovation & More and the establishment team.
During the receiving process, all file names are written on official paper with an ID number for this process, the number of received files, and the signature of the receiving member of Innovation & More and the recipient team member by the receiving date at the beginning of each day.
In the delivery process, the number of papers and images produced for each file is noted at the end of each day with a different ID number.
The names and numbers of files received and delivered must be matched at the end of the project.
We attach all images and receipts for receiving and delivering by the end of each day or as agreed with the establishment. All parties are provided with a copy of these documents as part of the project file.

Document Arrangement

To prepare the files for scanning, the document arrangement stage organizes them into several sub-stages. This stage is crucial in completing scanning quickly and professionally arranging the files to be scanned and returned.

Document arrangement consists of several sub-stages:
  1. The processing of the files and documents received.
  2. Organizing files and papers for scanning by removing internal staples.
  3. Sorting each file separately to facilitate scanning and sorting internal transactions to facilitate all subsequent stages.

Scanning

In the process of scanning accumulated files and documents, the scanning stage is the most important. As part of this work, the alignment and size of each page must be considered during scanning, as well as the separators for each section of files. To avoid mixing and arranging all papers, each file is kept separate from the other.

Image Quality Review

As part of the scanning process within the team, ensuring the quality of the final image is a fundamental stage, so no file or image needs to be rescanned or approved for data entry.

Data Entry

Each department or section has its own data entry for transactions before the scanning process begins. Data entry fields can be dynamically created in the Archiving program, allowing you to search the transaction and quickly locate the required file. Labor fields are defined as the most important and unique factors of each transaction that need to be entered into the specified fields in the created form, allowing the user to search these fields in order to access the particular transaction.

Data Review and Approval

In the final stage of the scanning process, the data is reviewed and approved, allowing verification of all entries for the relevant transactions and ensuring that all fields are in accordance with the transaction itself. If necessary, adjustments are made or the entries are confirmed.
